Zapier. Fastest to set up, biggest integration library (6,000+ apps). Best when speed of implementation matters more than cost, or when you need an integration only Zapier has. Cost scales linearly with task volume; can get expensive at scale.

Make (formerly Integromat). Best balance of cost and power for most SMBs. Visual editor handles complex logic that Zapier can't. Predictable pricing, scales well to mid-volume operations. Our default for most US client work.

n8n. Open source. Best when you need to self-host (data sensitivity, regulatory compliance), high volume that would make Zapier prohibitive, or custom logic beyond what visual editors handle. Requires more technical setup; we manage that for you.

How do you price automation projects?

We don't publish flat pricing because every automation is different. Number of workflows, integrations needed, and complexity all matter. After a 30-minute discovery call, you'll get a custom proposal: clear deliverables, fixed price for setup, optional monthly retainer for monitoring and improvements. Cost is typically a fraction of what comparable US agencies charge for equivalent work.

Is automation worth it if my team is small?

Yes, often more than for large teams. A 5-person team can save 20-40 hours/week with the right automations, that's effectively adding a full-time hire without the cost. Smaller teams have less margin for time wasted on manual work.

What happens when an API changes and breaks the automation?

We monitor critical workflows with alerts. When platforms push breaking changes, we get notified before you do. Optional monthly retainer covers maintenance and updates; without it, we fix issues hourly when they come up.

Can you automate processes that involve regulated data (medical, legal, financial)?

Yes, with care. For HIPAA, sensitive financial, or legal data we typically use n8n self-hosted on infrastructure you control, with proper logging and access controls. Generic SaaS automation tools (Zapier, Make) often have data residency or compliance gaps for these cases.

How long until the first automation is running?

Simple workflows (lead routing, basic notifications) often go live in 1 to 2 weeks. Complex multi-step automations with custom logic can take 3 to 6 weeks. We deliver in iterations, not a big-bang launch.

Will I be locked into the platform you pick?

No. Workflows can be rebuilt on a different platform if circumstances change. We document everything so you (or another agency) can take it over. The only lock-in is the time you've invested setting it up; we keep that minimal by picking the right platform from the start.

What's the difference between automation and AI agents?

Automation triggers fixed workflows on events (new lead arrives, copy to CRM, send email). AI agents handle natural language conversations and decisions (qualify the lead via chat, decide what to ask next based on responses). They complement each other; we build both, often in the same engagement.
